Integrating Hostify with VERI*FACTU for Invoicing

1. Setting Up Your Company in Hostify

To begin using Hostify for invoicing and connecting with VERI*FACTU, you must first create your company profile—or the owner's company profile—in Hostify. This step is essential for both Invoices and Hostify functionalities. When creating your company, make sure to provide all required information, including your company’s address, IVA number, the next invoice number in sequence, footer details, and any necessary prefixes. This information is crucial as it will be used when sending invoices to VERI*FACTU.

2. Activating the Invopop Feature

After setting up your company, contact Hostify support to request activation of the Invopop feature for your account. Once this feature is enabled, you will find a new option available on the company (owner) dashboard within Hostify.

3. Registering as a Supplier

From your dashboard, click on the "Register Supplier" option. After registering, you will notice that the "External Status" will initially display as N/A. Shortly after, it will update to "QUEUED." This status indicates that you need to take additional steps by clicking on the three dots menu and following the provided link.

4. Signing the Contract with VERI*FACTU

You will be prompted to sign a contract, which must be registered in VERI*FACTU. This process allows Hostify, through Invopop, to issue invoices to VERI*FACTU on your behalf. The contract can be signed either digitally or on paper, and all necessary instructions will be provided via a unique link specific to your company.

5. Status Verification and Troubleshooting

It may take some time for VERI*FACTU to review your submitted data and respond. If the status changes to "Registered," your company is successfully set up to send invoices. However, if the status shows as "Error," there is an issue with the contract. In such cases, you will need to unregister and repeat the registration process. The option to unregister will appear in the three dots menu if an error occurs during company registration.

6. Sending Invoices to VERI*FACTU

Once your company registration is complete, you can send invoices directly from Hostify to VERI*FACTU. Invoices can be sent individually or in bulk, depending on your needs.

7. Monitoring Invoice Status and Downloading Documents

You have the option to generate reports to track the status of your invoices. Since VERI*FACTU may return notes that require you to unfinalize and resend specific invoices, monitoring is important.

Once invoices are successfully sent, you can download PDF and XML versions either in bulk or for individual invoices as needed.
