Completing online check-in by guests – adding personal details, uploading an identity document, signing the rental agreement, paying the deposit, and ordering additional services.

Online Check-in – How the Guest Completes Their Registration

Once a reservation is confirmed, the guest receives an email from Hostify with stay information and a link for online check-in, which leads to MrGG.

The process takes only a few minutes.

1. Receiving the Reservation Email

The email contains:

  • Reservation number

  • Property address

  • Check-in date and time

  • Check-out date and time

  • A link for online check-in

The guest clicks the link to open their reservation in MrGG.

For email verification, two-factor authentication is enabled. Guests can also log in using Gmail.

2. Opening the Reservation

After successfully logging into MrGG, the guest sees a list of current and past reservations.

The reservation card displays:

  • Property photo

  • Property name

  • Location

  • Stay dates

By clicking the “Check-in” button for an upcoming reservation, the guest opens the reservation dashboard.

Available sections include:

  • Check-in

  • Directions (how to reach the property)

  • How to get in (access instructions)

  • Wi-Fi

  • House manual

  • Extra services

  • Area guide

  • Check-out

  • Report damage (not yet implemented)

  • Emergency instructions

The guest must start first with the Check-in process. Some sections remain locked until check-in is completed.

3. Adding Guests

The next step displays the guest list.

The primary guest is marked as Main guest.

If there are additional guests, the main guest can:

  • Enter their details manually
    or

  • Send them a link so they can fill in their information themselves

4. Adding an Identity Document

Each guest must provide an identity document.

Guests can either:

  • Upload a new document

  • Select a previously uploaded document

Options include:

  • Scan – scan using the camera

  • Upload – upload a photo

5. Selecting Document Type

The guest chooses one of the document types allowed in Hostify:

  • ID card

  • Driver’s license

  • Passport

MrGG is integrated with an external document recognition software that automatically reads the document and fills the data.

6. Scanning the Document

The guest follows the instructions on the screen. The system automatically extracts the information from the document.

7. Personal Data Verification

After scanning, the extracted information appears:

  • First name

  • Last name

  • Date of birth

  • Gender

  • Document number

  • Expiration date

  • Country of issue

The guest reviews the information and can edit it manually if needed.

8. Contact Information

The main guest must provide:

  • Email address

  • Phone number

If the host requires additional fields in Hostify (for example car plate number), they must also be filled in at this step.

9. Reviewing and Signing the Rental Agreement

The next step is the Rental Agreement. It appears in the guest’s language, if available.

If no translation exists, it is shown in English (default language).

The agreement must be signed by the guest. The host’s signature is already stored in the template settings in MrGG.

10. Deposit

To complete the check-in process, a deposit payment may be required. The payment method is defined in the deposit template settings.

Once the payment is completed successfully, the check-in process can be finalized.

11. Successful Check-in

A confirmation message appears:

“You successfully checked in.”

If there are additional guests in the reservation, they may also need to complete check-in, depending on the MrGG settings.

12. Full Access to the Reservation

After successful check-in, the guest gains access to the Dashboard, where they can find:

  • Property access instructions

  • Wi-Fi information

  • Property manual

  • Local recommendations (restaurants, museums, etc.)

  • Extra services (Upsells)

  • Contact with the host (not yet implemented)

13. Extra Services (Upsells)

In this section, guests can browse additional services offered during their stay, such as:

  • Additional coffee and tea supplies

  • Breakfast

  • Flowers

  • Special surprises for occasions

  • Other amenities

Guests can send a request directly through MrGG. The request is sent to the host, who can confirm and organize the service before or during the stay.

This feature helps:

  • improve the guest experience

  • generate additional revenue from the property

14. Wi-Fi Connection

In the Wi-Fi section, guests can easily find the information required to connect to the internet.

Displayed information:

  • Network name (SSID)

  • Wi-Fi password

Guests can also use the Copy button to copy the password directly to their device.

This information is configured in Hostify and automatically displayed in MrGG.

15. House Rules

In the House Manual section, guests can review the property rules and key information. These settings are configured by the host in Hostify and displayed automatically in MrGG.

Guests can see rules such as:

  • Smoking policy

  • Pets policy

  • Events policy

  • Children policy

Additional information includes:

  • Number of bedrooms

  • Number of beds

  • Maximum guest capacity

This helps ensure a smooth and comfortable stay.

16. Area Guide

This section includes recommended restaurants, attractions, museums, and places to visit.

All locations include Google Maps links.

17. Emergency Instructions

The Emergency Instructions section provides important information in case of emergencies.

It may include:

  • Emergency phone numbers

  • Nearest hospitals

  • Medical centers

  • Emergency services

Guests can quickly contact emergency services or open navigation to the nearest hospital. Hosts can also add additional emergency contacts or property-specific instructions.

18. How to Get In

This section provides property access information.

Guests can see:

  • Type of check-in

  • Door PIN code (if a keypad is used)

  • Building access instructions

  • Key pickup instructions (if a key safe is used)

  • Orientation photos showing the entrance

This allows guests to enter the property without meeting the host. If photos are uploaded in Hostify, they help guests identify the correct entrance.

Restricted access

Guests will see a message that the information will be unlocked 24 hours before check-in.

After that time:

  • lockbox codes

  • smart lock codes

will become visible.

19. Report Damage

Guests can report damages directly through MrGG.

They can:

  • Add a description of the issue

  • Upload a photo

The report is automatically sent to the Hostify inbox, allowing the host to respond quickly and manage maintenance more efficiently.

20. Directions

The Directions section shows the exact location of the property on a map.

Guests can:

  • View the map directly in MrGG

  • Click “Open in maps” to launch navigation (Google Maps or another navigation app)

Below the map, the following details are displayed:

  • Country

  • City

  • Exact address

This allows guests to easily navigate to the property.

21. Check-out

The Check-out section allows guests to easily complete the departure process.

Guests can:

  • Indicate their departure time

  • Follow a short checklist before leaving

Typical tasks may include:

  • Returning the keys to the lockbox

  • Turning off electrical appliances

Once all steps are completed, the guest confirms departure by pressing “Check-out”.

This informs the host that the stay has ended and helps them organize cleaning and preparation for the next guests.
