Hostify Task App: A Step-by-Step Guide

Hostify's new Task App is designed to streamline your property cleanings, maintenance and inspections, by automating task assignments.

Welcome to the Hostify Task App!

Hostify new Task App is designed to streamline your property cleanings, maintenance and inspections, by automating task assignments, providing real-time updates, and ensuring your properties are always guest-ready.

This guide will walk you through the features of the Task App and show you how to use it effectively. Please note that this Tasks App is only available for Administrators, Managers, and Housekeepers with their Hostify credentials.

  • Comprehensive Overview: Get a bird's-eye view of all tasks across properties.


Getting Started with the Task App

Step 1: Log In

  1. Go to your Hostify account and log in using your credentials.

Step 2: Get an Overview

  1. Go to the menu and click on ’Tasks’. In the Tasks Manager section, you will find the main dashboard with an overview of all your tasks and assignments.

Step 3: Create New templates

  1. Navigate to the sidebar menu on the left and select ‘Templates’. You'll find a list of all your predefined templates, displaying by names and types.

  2. To create a new Template click on ‘Add New’ and fill the details:

  • Select Template name.

  • Customize the checklist tailored to the specific needs of your properties. You can upload photos and designate required actions. You can add how many steps you want to add just to achieve your goal.

  • Select type of task: this field will be if your tasks are for General, Cleaning, Maintenance, or for Inspection.

  • Set Priority: you can set this if your Tasks are Low, Medium, or High priority.

Save the Template.

Step 4: Creating New Tasks

If you want to create automated tasks, then you need to go to the Tasks tab in Hostify > Template > Add New to first create your task. After you have successfully created your Template you can then go to Automations to automate your Tasks

  1. Go to ‘Tasks’ on the left sidebar. Click on ‘Create Task’ and then on ‘Add New’.

  2. Enter Task Details:

  • Choose between one of our predefined templates.

  • Select task name.

  • Create a customized checklist.

  • Select type of task and set Priority.

  • Select the property to which you want to apply this task

  • Set up the Possible Start Time and Deadline: Time which is the length of your Tasks to be completed.

  • Assigned team member - Default: If you activate this option, each time the criteria for this task are met, it will be automatically assigned to this person.

    3. Save the task.

After you have successfully created your Template, you can then go to Automations to automate your Tasks.

After you created this Task, now the Assigned user will see it in their Hostify Mobile Tasks App as showing like this

All Pending, In Progress, and Completed Tasks will be visible on the user's Tasks App.

Step 5: Report an Issue

  1. Within the task, click on ‘Issues’ on the secondary menu. Here you will have an overview of all the issues reported by your team and the status of these tasks.

  2. Also, report an issue here. Click on ‘Add New’ and create an issue report.

  3. Select Property, Type of task, priority, describe the problem and upload a photo from your gallery if it’s needed. Finally save the issue report.

Step 6: Activity

  1. Go to the left secondary menu and click on ‘Activity’. Here, you'll find an overview of task progress, showcasing the latest activity across various assignments.

Step 7: Create New templates

  1. Navigate to the sidebar menu on the left and select ‘Templates’. You'll find a list of all your predefined templates, displaying their names and types.

  2. To create a new one click on ‘Add New’ and fill the details:

  • Template name, select type of task, establish priority and create a customized checklist.

Save the Template.

Step 8: Tasks Automations

  1. Go to the left menu and choose 'Automations'. Here you will see a list of all your task automations, filtered by properties and date.

  2. To create a new Automation click on ‘Add New’.

  3. Choose a predefined template, and go to ‘Next’.

  4. Select if you want to apply the automation to one reservation or recurring ones.

    If it's a Reservation then you can choose if the task is for a reservation before check in, before check out, or before next reservation

  5. Choose the time to implement automation and the assignees. After setting it up, you need to choose the assigned user to do the task and then proceed to the last step.

  6. Last Step is by choosing or adding the properties that you want your user to be assigned:

  7. Save ‘Automations'. Basically, this is also the same as creating your Template but in this step, you need to choose which Property you want to assign your Housekeeper.

Step 9: Property default assignments

  1. Head to the left-hand menu and go to 'Assignments'. Here, you'll find a list of all default assignments for your properties.

Step 10: Monitoring Task Progress

  1. Go to the Dashboard to view a comprehensive overview of all tasks.

  2. Filter tasks by status, property, or team member to get detailed insights.

  3. Overview and identify areas for improvement, ensuring all tasks are on track.


Hostify Task App for cleaners and maintenance teams.

Step 1: Download and Install the App

  1. Show your team how to download the Hostify Task App from the App Store (iOS) or Google Play Store (Android).

  2. Make them Install the app on their mobile devices.

Step 2: Receiving Notifications

  1. Team members will receive real-time notifications on their mobile devices whenever a task is assigned or updated.

Step 3: Executing Checklists

  1. Open the Task assigned.

  2. Follow the checklist provided within the task to ensure all steps are completed.

  3. Mark each item as done once completed.

Step 4: Reporting Issues

  1. Open the Task where you encountered an issue.

  2. Click on Report Issue.

  3. Describe the problem and add any necessary details.

  4. Upload visual proofs if it’s needed.

  5. Submit the report for swift resolution.

Step 5: Uploading Photos

  1. Within the task, click on Upload Photo.

  2. Take a photo or select one from your gallery and Upload the image to the task for visual confirmation of completion
