Overview

TRA Colombia (Tarjeta de Registro de Alojamiento) is Colombia's accommodation registration system managed by MINCIT (Ministry of Commerce, Industry and Tourism). It requires vacation rental providers to register guest data with the government for compliance.

Hostify automates this process: when guests complete the pre-check-in form, their data is automatically sent to TRA Colombia. No manual registration is needed per reservation.


Prerequisites (Before Connecting)

SIRE Colombia is required first. TRA Colombia uses guest data collected by the SIRE Colombia check-in form. Without it, TRA cannot send data.

  1. Set up SIRE Colombia integration: Integrations → App Center → SIRE Colombia

  2. Create a check-in form with SIRE Colombia preset: Check-in → create or edit a form → select "SIRE Colombia" preset

  3. Assign the SIRE Colombia check-in form to your Colombia listings

  4. Ensure your listings have country = Colombia


Obtaining TRA Credentials

You need two values from the Colombian government:

Connecting TRA Colombia in Hostify

  1. Go to Integrations → App Center → TRA Colombia

  2. Click Add Integration

  3. Fill in:

    • Integration Name (e.g. property name or RNT nickname)

    • RNT Number (numeric, 1–20 digits)

    • Token (from pms.mincit.gov.co; alphanumeric with hyphens, minimum 20 characters)

  4. Enable Active if you want it to run immediately

  5. Click Add Integration


Linking Listings to TRA Colombia

  1. Go to TRA Colombia and click Settings on your integration

  2. In the Listings section, use the multiselect to add your Colombia properties

  3. Only listings with country = Colombia will appear

  4. Click Save Changes

Important: Each listing must also have the SIRE Colombia check-in form assigned (via Check-in settings). Otherwise, TRA will not send data for that listing.


How It Works After Integration

Automatic flow:

  1. The guest receives the check-in form link (SIRE Colombia preset)

  2. The guest completes the form (document type, ID, name, city, visit intent, etc.)

  3. When the form is submitted, Hostify automatically sends guest data to TRA Colombia

  4. Main guest and additional guests are registered with the government

No manual action is needed per reservation. The trigger runs when the check-in form is completed.


Important: No Update Capability and Resend Process

TRA Colombia does not support updating data. Once guest data is sent to the government system, it cannot be modified or corrected through the API.

If something goes wrong (wrong data, failed submission, cancelation or alternation), follow this process:

Step 1: Delete incorrect data from TRA

  • Log in to the TRA government portal (pms.mincit.gov.co or tramincit.gov.co)

  • Remove the incorrect guest registration manually

  • Hostify cannot delete data from TRA—this must be done by you in the government system

Step 2: Correct data in Hostify (if needed)

  • If guest details were wrong, edit them in Hostify first: Reservation → Edit check-in guests

  • Save the corrected data before resending

Step 3: Resend from Hostify

  1. Open the reservation in Hostify

  2. Go to Actions → Resend Police Request

  3. In the dialog, click Resend TRA

  4. Confirm when prompted

Warning: Resending will create duplicate records in TRA if the previous data was not removed. Always delete from TRA first, then resend.


Monitoring and Troubleshooting

TRA Colombia Requests

Go to TRA Colombia → Requests Status to:

  • View all sent requests with date, integration, guest name, guest type (main/additional), status (OK/Error), response, and sent date

  • Filter by date range, integration, and status

  • Verify submissions and debug failures
