How to Set Up the MrGG Check-in Template with the SES Hospedajes Preset

A quick guide for property managers operating in Spain — how to set up the MrGG check-in template with the SES Hospedajes preset.

If your properties are located in Spain, you are required by the Ministry of the Interior to report guest data through the SES Hospedajes system. This guide walks you through enabling the MrGG check-in template with the SES Hospedajes preset so that the right guest information is collected at check-in and submitted automatically.

Before you start: make sure you already have an SES Hospedajes account (a username and password issued by the Spanish authorities) and that your property has been registered under your company in SES.

Step 1 — Open the MrGG check-in template settings

From the left-hand menu in your MrGG by Hostify dashboard, click Online Check-in. The first time you visit the page you will see an empty state that reads "No check-in templates yet". Click the blue +Add button (either in the top-right corner or in the centre of the page) to start a new mrgg/checkin_template.

Step 2 — Apply the SES Hospedajes preset

Inside the template editor, open the General Settings tab and choose SES Hospedajes from the Form Preset dropdown. As the on-screen note explains: "When a form preset is selected, required fields on the Field Configuration tab are auto-selected and locked as read-only." This means the Field Configuration tab and the Parte Viajero report are automatically populated with everything Spanish law requires — you do not need to add those fields yourself.

What you still need to configure manually

Even with the preset applied, a few options on the General Settings tab need your input:

  • Required Guests — set to All Guests (including children) to comply with SES.

  • Adult Legal Age — set to 14 (Spain's legal threshold for full guest data).

  • Accepted Document Types — tick Passport (International) with All Countries, and ID Card (National) with EU (European Union). Leave Driving License unchecked — it is not accepted by SES Hospedajes.

  • Optional toggles: Require Document Copy, Forbid guest number changing, Require email and phone for additional guests — switch these on according to your house policy.

Good to know: the SES-required fields (full name, document type and number, nationality, date of birth, address, signature, etc.) are filled in for you on the Field Configuration tab and cannot be removed while the preset is active — so you can be sure nothing mandatory is missing.

Step 3 — Connect to the Ministerio del Interior and add details in the PMS

Connecting your account to the SES Hospedajes platform is handled outside MrGG, and the details on the PMS side require no extra changes. Two existing Hostify help articles cover this in full — please follow them in order:

Note: once both articles are completed, MrGG will automatically transmit the SES Hospedajes data using the credentials configured at PMS level — no additional setup is required in the check-in template itself.

Step 4 — Assign the template to your listings

Open the listing you want to enable, scroll to Check-in, and choose your new MrGG template from the dropdown. Save your changes. Repeat for every Spanish property — or use bulk-assign to apply it to multiple listings at once.

Step 5 — Test the guest experience

Send yourself a test check-in link from any upcoming reservation and walk through the form as if you were a guest. Confirm that all fields appear, the signature works, and the form can be submitted. Once you submit, check your dashboard — the reservation should show a green SES Sent badge within a few minutes.

Heads up: SES Hospedajes requires data to be submitted within 24 hours of check-in. If a submission fails (e.g., bad credentials or missing data), you will see a red badge on the reservation — open it to view the error details and re-send.

Troubleshooting

  • "Invalid credentials" — re-enter your SES username and password and run Test connection again.

  • Missing fields after preset is applied — make sure the template type is set to mrgg/checkin_template; older template types do not support the SES preset.

  • Guest cannot submit form — ensure all guests aged 14 and over have completed their personal data. Children under 14 only require a name.
